Learning Event (Training) Coordinator

Reporting to the Coordination Manager, the Learning Event (Training) Coordinator will work primarily on a long-term client specific contract as a key member of a dynamic small team of Graybridge Malkam personnel. The Training Coordinator will also collaborate directly with the client’s team of learning advisors and managers on a regular basis.

Duties and Responsibilities:

The Training Coordinator’s duties and responsibilities include, but are not limited to, the following:

  • Maintain current, accurate and comprehensive electronic records for each learning event including but not limited to: event title and number, client, start and end dates, duration, number of learners, facilitator(s), country resource personnel (CRPs) and subject matter experts (SMEs), language of delivery, location of delivery, logistical data, and financial data;
  • Maintain current, accurate and comprehensive electronic records of qualified facilitators, CRPs and SMEs;

Coordinate and administer each learning event by carrying out the following activities:

  • For online/blended learning events, make arrangements for the requested online platform (MS Teams, WebEx, Zoom, etc.) for online events;
  • For in-person learning events, determine the appropriate location for in-person events in accordance with criteria established or deemed acceptable;
  • Select and assign facilitators, CRPs and SMEs to events;
  • Where required, make travel and accommodation arrangements for facilitators, learners, CRPs and SMEs;
  • Register event learners, obtain and record participant information, provide participant information to the event facilitator, and respond to participant questions regarding registration and the learning event;
  • Collect participant learning needs assessment information, if required;
  • Arrange and ensure the set-up of the training facility for in-person events, including audio visual equipment, and on-site logistics;
  • Provide all course online information to participant in advance of training (e.g. user ID & passwords, scheduled synchronous sessions, course materials, etc.);
  • Coordinate and ensure the timely provision of all post-event reports, including facilitator reports, participant evaluations (compiled if required), reports from an LMS, coordination and follow-up reports, and financial documentation;
  • Within one week of completion of the delivery of a learning event, update the database of qualified resources by recording CRPs and SMEs used and their performance, based on event evaluations and facilitator assessments.
  • Adhere to the service evaluation and quality control requirements and ensure that all resources adhere to the service standard and quality monitoring activities; and
  • Maintain at all times current knowledge of products and services and clients' mandates, business lines, and service and program delivery mechanisms.

 

Qualifications/Minimum Requirements:

  • A degree or diploma from a recognized university or post-secondary institution;
  • Two (2) years demonstrated administration experience;
  • Professional Proficiency in both English and French;
  • Excellent computer skills and experience using software such as Outlook, SharePoint, Excel, Word and PowerPoint;
  • Proven attention to detail and experience in data entry and reporting through a computerized system;
  • Experience responding to enquiries from clients and colleagues, and providing accurate and timely information; and
  • Must have or be eligible to obtain security clearance (Reliability Status).

Location:  

National Capital Region (Ottawa/Gatineau). Currently there is a hybrid working arrangement with an operational requirement to work in-person Tuesdays and Wednesdays every week. In addition, there is an occasional requirement to be on-site for in-person training on an as requested and needed basis.

Position:

Full-time, indeterminate, salaried, 40 hours per week, excluding mandatory lunch break.
